With something for everyone, Grande Prairie is the perfect placeto thrive! The City of Grande Prairie's Corporate Facility Management (CFM)Department is looking for an Administrative Assistant III to provide support tothe Project Management division.

TheProject Management division works with administration, management and variousstakeholders to manage project data and quality & cost controls on allfacility related construction & renovation projects.

This position reports to the Project Manager.

Responsibilities You will be responsible to perform a wide range of administrative dutiesin a dynamic and challenging work environment.

In the provision of strong administrative support, you will be expectedto provide a high degree of customer service excellence in the development,fostering and maintaining of positive working relationships with CorporateFacility Management staff, other City departmental staff, internal and externalpartners, service providers, contractors and consultants.

The administrative duties of the Project Management division willinclude:

Daily Project Management data collection, monitoring &communications (internal & external).Daily record keeping pertaining to funding & maintaining projectpriorities between CFM Divisions, and internal & external clients.Upon project completion, project data coordination between CFMDivisions, ie:

Establishing life cycle requirements (Assets) & PreventativeMaintenance Schedules (Maintenance), O&M, As-Built drawings, etc.

to theGIS Department.Red binder management (Health & Safety), assist in creation,assembly and updating of divisions & sections of CFM Construction Manual.Administrative Functions
- Support Service to other CFM divisions whenrequired.

You Bring You will have a minimum of 5 years of administrative experience, a BusinessAdministration Certification or Diploma, and/or two years of relevantpost-secondary education in a Facility/Construction/Project/Asset managementrole.

A relevant combination ofeducation and experience will also be considered.

The following skills will beessential for you to succeed in this position:

Ability to work well under pressure to meet set deadlines; Exceptional organizational skills with the ability to multi-task andmanage multiple conflicting priorities;Knowledge of general construction/renovation processes and procedures Ability to work independently and as part of the team, while exercisinggood/independent judgment, demonstrating initiative and pro-activity; Demonstrated experience working effectively with external serviceproviders and consultants;Demonstrated proficiency in dealing with large volumes of data entry& management, while maintaining project and asset data integritySuperior communication skills, both written and verbal;Strong computer aptitude and high level of experience with MicrosoftOffice (Word, Excel, Outlook, etc..

);Strong commitment to customer service, performance management andcontinuous improvementStrict adherence to safe work practices, andExperience working with Computerized Maintenance Management System(CMMS) or Asset management software would be considered a strong asset.

Hours The standard workweek consists of anaverage of 35 hours, with the specific schedule being determined bythe immediate supervisor.
